Smart folders — one folder per job, without making it

Every print shop has its own way of naming folders, and every print shop has the one person who breaks it. PressCal takes that decision off the table: the moment a quote is approved, the folder exists — with a fixed name, in the right root.

PressCal computes the path, PressKit creates the folder on disk. Without PressKit none of this happens.

How it's named

You set the root once, in Settings → PressKit → JOB FOLDERS. From then on, every approved quote gives you:

[QT-2026-0019] ASHRAE - Posters A3

That is [quote number] customer - title. It sorts properly, it's findable by searching the number, and it tells you whose it is without opening it.

Three details that save you from broken names:

  • The title is cut at 60 characters, the customer name at 40 — you never get paths that won't open.
  • Characters Windows forbids (< > : " | ? * / \) become _ automatically. Write "Cards 9x5 (2/2)" in the title and don't think about it.
  • If title or customer is missing, "Job" / "Customer" is used — never an empty name.

The customer's own folder

If a customer already has their own folder on your disk, set it on the company card. The job subfolder then goes there instead of the global root — your existing filing stays exactly as you know it.

That's why the quote and the calculator show two folder buttons:

  • PressCal Folder — the automatic job folder
  • Customer Folder — your own folder for that customer

Whichever you pick becomes the Active folder: that's where files land when you save. If you've picked neither, PressCal tells you plainly instead of guessing.

The customer's files inside the folder

On the quote, email attachments and linked files download into the folder with one button — and there's an option for new files only, so you don't re-download what you already have. Files not yet in the folder are marked "New".

Completion and archiving

When you close a job the folder is not deleted — it moves into an _01 Archive subfolder inside the same root. The leading underscore keeps it at the top of the list, so your archive never gets mixed in with live work.

Restoring puts it back exactly where it came from.

Safety catch: if the folder on record points at the customer folder rather than a quote folder, PressCal refuses to archive it and says so: "The folder is not a quote folder". Without that check, one completion would move an entire customer into the archive.

Worth knowing

The move is done by PressKit, so it has to be running on the computer that holds the folder. Archive from your phone or another PC and the quote archives fine — the folder will move as soon as PressKit opens on the right machine.
